Admissions Process
Updated February 2025
On April 18th, 2023, the Victoria Motorcycle Club Membership approved a Cap on total members at 475. Accordingly, our New Member Admissions process has been revised to include new steps and enhanced requirements.
Please review this information thoroughly:
A) Candidate For Membership to submit their completed VMC Membership Application Form via website process. If a Family group application please submit a paper application form for all secondary family members.
B) When space for new member intake allows, eligible Candidates for Membership from Wait List will be contacted and invited to attend a Monthly Meeting, to stand for introduction, vote and then admission into the club.
a. The Candidate’s Sponsor should attend along side the candidate whenever possible.
b. If a Member Candidate fails to confirm their invitation to attend the monthly meeting for introduction as scheduled, their name will go to the bottom of the wait list unless:
– A Candidate for membership may request a deferral from attendance only if work or prior family commitment requires them to be out of town or unavailable.
– The Member Candidate will make it known at which Regular Monthly Meeting they will attend to be Introduced and Voted upon.
– Limited leniency will be considered by the Membership Committee for extenuating circumstances. Meeting attendance for Introduction is not optional.
C) Payment of initiation fee is payable upon application. Annual dues must be paid in full upon admission.
a. Upon admission immediately following the meeting for introduction, each Candidate will pay their annual dues on-line or by e-Transfer or bring a cheque.
b. If dues payment in full is not received immediately, conditional membership in the VMC will be rescinded.
D) Following acceptance all new conditional members are required to attend an Orientation Day at Cycle Park offered by director Brent Donaldson.
a. Until newly admitted member attends the Orientation Day and completes their required Work-Duty they will not be offered a Gate Fob and membership can be rescinded.
b. It is recommended that new members familiarize themselves with Cycle Park’s rules and general etiquette handout in advance of the Orientation Day. Check the website under Cycle Park.
E) All new Active members are required to contribute two (2) days of work-duty (6 hours/day), and new Junior members one(1) day prior to December 1st in their first season of membership; assisting in a club sanctioned activity, project or event. A list of sanctioned events, projects and activities will be listed on the website or as otherwise communicated. (Senior & Youth members are exempt from required work duty).
a. Work-Duty could be as part of a trail maintenance work party, a construction project, joining a committee or assisting with the set-up and organization of an event or food concession or other sanctioned club activity.
b. All efforts contributed to the club to be ‘self-reported’ by the member on-line, at VMC website’s Member Portal and each Personal Profile or as directed from time-to-time.
F) If any newly admitted member is unable to provide their two days of ‘work-duty’ to a club activity prior to December 1st in Year One, they are required to provide formal notice and request deferral. Failure is grounds for expulsion.
a. Deferrals will only be granted for a valid reason, otherwise their membership will not be renewed the following year. Valid reason could be that of physical impairment (i.e.: broken leg) of if their job requires them to be away from the region for a greatly extended period. Such will not be granted easily.
b. Work-Duty deferrals will be determined at the discretion of the Membership Committee and Executive Committee members.
