ADMISSIONS PROCESS
Membership in the VMC is a privilege not a right. It is each member’s duty to protect and nurture the VMC.
Admissions Process
Updated January 2024
On April 18th, 2023, the Victoria Motorcycle Club Membership approved a Cap on total members at 475. Accordingly, our New Member Admissions process has been revised to include new steps and enhanced requirements.
Please review this information thoroughly:
A) Candidate For Membership to submit their completed VMC Membership Application Form.
B) When space for new members allows, eligible Candidates for Membership from Wait List will be contacted and invited to attend a Monthly Meeting, to stand for introduction, vote and then admission into the club.
a. The Candidate’s Sponsor should attend along side the candidate whenever possible.
b. If a Member Candidate fails to confirm their invitation to attend the monthly meeting for introduction as scheduled, their name will go to the bottom of the wait list unless:
– A Member Candidate requests a deferral from attendance if work or prior family commitment requires them to be out of town or unavailable.
– The Member Candidate will make it known at which Regular Monthly Meeting they will attend to be Introduced and Voted upon.
– Limited leniency will be considered by the Membership Committee for extenuating circumstances.
C) Payment of annual dues and initiation fee must be paid in full to be admitted.
a. Upon invitation to attend a meeting for introduction each Candidate to send an Etransfer payment and be prepared to provide proof at the meeting that payment was made. Bring a cheque if you have not already paid.
b. If full payment is not received by meeting time, membership in the VMC will be rescinded.
D) Following acceptance all new members are required to attend an Orientation Day at Cycle Park offered by director Brent Donaldson.
a. Until newly admitted member attends the Orientation Day, they will not be offered a gate key/fob and their membership may be rescinded.
b. It is recommended that new members familiarize themselves with Cycle Park’s rules and general etiquette handout in advance of the Orientation Day.
E) All new Active members are required to contribute two (2) days of work-duty (6 hours/day) in their first season of membership; assisting in a club sanctioned activity, project or event. A list of sanctioned events, projects and activities will be listed on the website or as otherwise communicated.
a. This work-duty could be as part of a trail maintenance work party, a construction project, joining a committee or assisting with the set-up and organization of an event or food concession or other club activity.
b. Your contribution to the club is to be logged by either the committee chair or self reported by the member as directed from time-to-time.
F) If a newly admitted member is unable to provide their two days of ‘work-duty’ to a club activity in Year One, they are required to provide formal notice and request deferral.
a. Deferrals will only be granted for a valid reason, otherwise their membership will not be renewed the following year. Valid reason could be that of physical impairment (i.e.: broken leg) of if their job requires them to be away from the region for a greatly extended period. Such will not be granted easily.
b. Work-Duty deferrals will be determined at the discretion of the Membership Committee and Executive Committee members.
