Administrative Policies & Procedures Manual

These changes were tabled at our Monthly Meeting on November 21, 2024, to take effect for 2025 Season. Approved at the December 17th meeting.

Initiation Fee and Annual Dues
Per the club by-laws Article 1 – Membership, B – Dues, the Initiation Fee and Annual Dues are reviewed in May/June, or earlier, each year. Any changes must be approved by an Extraordinary Resolution which requires a notice of motion, posting of the notice of motion, and discussion at the following meeting. This motion must be passed with a ¾ majority vote.

– Initiation Fee: $50.00 effective Feb 1, 2025
Note: This One-Time Initiation Fee applies to all individual applicants and Family group applications. Initiation fee waived for applications for individual Youth members (0-12 years).

Entry Fees for Events:
Per the club competition rules Article 3. Entry Fees, Item 1: Entry fees for events shall be reviewed and changed as necessary and posted in the Administrative Policies & Procedures Manual. Such changes will require a ¾ majority.

Events – other than regular scheduled VMC Events – on the club property:
Any VMC member wishing to hold an event on the club property outside of the regular VMC Events calendar will submit a proposal to the executive, in writing, outlining:
– the nature of the event
– pre-event preparations & post event remediation plan
– the proposed budget and any proposed contribution to the club
– any other pertinent details as requested.
This will then be presented to the club for approval.

Outside Events – non VMC Events – on the club property and Liability Insurance:
All users or businesses (by either VMC Members or non members) who wish to hold a commercial or public event on the club property must provide proof of their own liability insurance coverage equal to no less than the club’s liability policy coverage.
They will submit a proposal to the executive, in writing, outlining:
– the nature of the event
– pre-event preparations & post event remediation plan
– the proposed contribution to the club
– any other pertinent details as requested.
This will then be presented to the club for approval.
